The British Royalist Society is operated by Royalist Campaign Ltd, a company limited by guarantee registered in England and Wales (company number 12085309). Our registered address is available on request. We are the data controller for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What Personal Data We Collect

6. Who We Share Your Data With

We do not sell your personal data to third parties. We may share your data with:

  • Brevo (Sendinblue SAS) — our email and CRM platform, based in the EU
  • SureCart — our payment processing platform
  • Stripe — our payment gateway, for processing card transactions
  • Hostinger — our website hosting provider
  • Professional advisers including lawyers and accountants where necessary
  • HMRC, Companies House and other regulatory bodies where required by law

7. Data Retention

We retain personal data only for as long as necessary. Membership records are retained for a minimum of six years following the end of a membership in accordance with statutory requirements. Volunteer application data is retained for two years. You may request deletion of your data at any time, subject to our legal obligations.

8. Your Rights

Under UK GDPR, you have the following rights:

  • The right to access your personal data
  • The right to rectification of inaccurate data
  • The right to erasure ("the right to be forgotten")
  • The right to restrict processing
  • The right to data portability
  • The right to object to processing based on legitimate interests

9. Complaints

2. The Society

The British Royalist Society is operated by Royalist Campaign Ltd, a company limited by guarantee registered in England and Wales (company number 12085309). References to "the Society", "we", "us" or "our" refer to Royalist Campaign Ltd and the British Royalist Society.

3. Membership

Membership of the Society is open to individuals who meet the eligibility criteria set out on our membership page. By applying for membership you confirm that:

  • You are a citizen of the United Kingdom
  • You are at least 16 years of age
  • You are in sympathy with the aims and objects of the Society
  • The information you have provided is accurate and complete

The Society reserves the right to refuse or revoke membership at its absolute discretion.

4. Membership Fees

Annual membership fees are payable in advance and will renew automatically unless cancelled. Life membership is a one-time payment conferring membership for the lifetime of the member. All fees are non-refundable except where required by the Consumer Rights Act 2015 or other applicable legislation.

5. Acceptable Use

In using our website and services, you agree not to:

  • Use the website for any unlawful purpose or in any way that breaches applicable laws or regulations
  • Transmit any unsolicited or unauthorised advertising or promotional material
  • Impersonate any person or misrepresent your affiliation with any person or organisation

Volunteer Policy

1. Introduction

The British Royalist Society values the contribution of its volunteers and is committed to ensuring a positive and productive volunteering experience. This policy sets out the terms under which individuals volunteer with the Society.

2. Nature of the Relationship

Volunteering with the Society is entirely voluntary. The volunteer relationship is not an employment relationship and does not give rise to any contractual obligations between the volunteer and Royalist Campaign Ltd. Volunteers are not entitled to any financial remuneration. Either party may end the volunteer relationship at any time and for any reason without notice.

3. Eligibility

To volunteer with the Society, you must:

  • Be at least 18 years of age
  • Be a citizen of the United Kingdom
  • Be proficient in the English language
  • Be in sympathy with the aims and objects of the Society

4. Conduct

Volunteers are expected to:

  • Act at all times in a manner consistent with the values and reputation of the Society
  • Follow the reasonable instructions of the Society's officers and Council members
  • Maintain confidentiality in respect of any sensitive information obtained during their volunteering
  • Not make public statements on behalf of the Society without prior authorisation
  • Comply with all applicable laws and regulations
  • Treat fellow volunteers, members and officers with courtesy and respect

5. Data Protection

Volunteers' personal data will be processed in accordance with the Society's Privacy Policy. Volunteers must also comply with the Society's data protection obligations when handling the personal data of members or other individuals in the course of their volunteering activities.

6. Termination

The Society reserves the right to terminate a volunteer's engagement at any time without notice, including where a volunteer has breached this policy, brought the Society into disrepute, or where their conduct is otherwise inconsistent with the Society's values.

Complaints Policy

1. Our Commitment

The British Royalist Society is committed to the Seven Principles of Public Life. We take complaints seriously and aim to resolve them promptly, fairly and consistently.

2. What You Can Complain About

You may use this procedure to complain about:

  • The conduct of a member, volunteer or officer of the Society
  • The standard of service you have received if purchasing from us
  • How your personal data has been handled
  • A decision made by the Society that affects you

3. How to Make a Complaint

All complaints should be submitted in writing to contact@theroyalists.org.uk. Please include:

  • Your full name and contact details
  • A clear description of your complaint
  • The date(s) on which the relevant events occurred
  • Any supporting documentation
  • The outcome you are seeking

4. How We Will Handle Your Complaint

We will acknowledge receipt of your complaint within five working days. We aim to provide a full response within 28 calendar days. Where a complaint is complex, we may require additional time and will keep you informed of progress.

5. Escalation

If you are not satisfied with our response, you may escalate your complaint to the Chairman of the Society by writing to contact@theroyalists.org.uk marked for the attention of the Chairman. The Chairman's decision shall be final in respect of internal complaints.

6. Data Protection Complaints

If your complaint relates to the handling of your personal data, you have the right to escalate directly to the Information Commissioner's Office (ICO) at ico.org.uk at any time, regardless of whether you have first raised the matter with us.

7. Vexatious Complaints

We reserve the right to decline to investigate complaints that are frivolous, vexatious, or made in bad faith. Where a complaint is determined to be vexatious, we will notify you in writing.
